This policy explains how Gym competition ("we", "us") handles personal information when you use this website or contact us. We run gym membership prize competitions covering Horden and the whole UK.

What this policy covers

This website publishes the competitions. You do not need an account. Card payments are taken by Stripe. You can also contact us by telephone, text message (SMS), WhatsApp, or email.

Information we collect

We may hold personal information that you choose to give us, including:

• Your name, if you provide it
• Your telephone number, if you call, text, or message us on WhatsApp
• The content of calls, texts, WhatsApp messages, and emails
• Your email address and any files you send
• The date and time of contact
• The competition, entry package, total entries and total price you select
• Name, email and payment details you enter on Stripe's checkout page, which Stripe holds under its own privacy policy

Our hosting provider may also record standard technical logs when you visit the site, such as IP address, browser type, pages viewed, and the time of the visit. These logs are used to run and protect the site.

We do not collect account logins. We do not collect or store your full card number, expiry date or card security code. Card payments are taken by Stripe. Ticket options are shown in Stripe's pricing table on the payment page, then name, email and card details are entered on Stripe's checkout page.

Choosing a package on this website is not a competition entry. An entry is only treated as paid once Stripe confirms a successful card payment, or once a bank transfer is confirmed.

How we use information

We use this information to:

• Respond to enquiries about gym membership competitions
• Show the competition, package and price you selected before you pay
• Pass the competition and package you selected to Stripe as a payment reference if you choose card payment
• Include the competition and package you selected in a text or WhatsApp message if you ask for bank details
• Handle entries and membership prize competitions you ask about
• Keep records of conversations that relate to an enquiry
• Meet legal and accounting duties where they apply
• Keep the website available and secure

We do not sell your information. We do not use it for automated decision-making or profiling.

Depending on the situation, we rely on:

• Steps prior to a contract / performance of a contract (UK GDPR Article 6(1)(b)) - when you contact us about a membership competition or pay for an entry
• Legitimate interests (Article 6(1)(f)) - responding to enquiries, keeping basic business records, and running a secure website, where this does not override your rights
• Legal obligation (Article 6(1)(c)) - where the law requires us to keep certain records

Sharing information

We only share information where it is needed to handle your enquiry or run the business, for example:

• Telephone and SMS networks, when you call or text 07831 489723
• WhatsApp / Meta Platforms Ireland Limited, when you message us on WhatsApp. Their own privacy policy applies to that service
• Our email provider, when you email us
• Our website host, which stores the site and server logs
• Stripe, when you choose to pay by card. Ticket options are shown in Stripe's pricing table on this site, then payment is completed on Stripe's checkout page. Stripe's own privacy policy applies. We do not receive your full card details
• Professional advisers or authorities if the law requires it

Some of these organisations may process data outside the UK. Where that happens, they should use a lawful transfer mechanism such as the UK adequacy regulations or standard contractual clauses.

How long we keep information

Enquiry messages that do not lead to an entry or sale are usually kept only for as long as needed to reply and for a short follow-up period, then deleted or archived with restricted access. Records linked to a confirmed paid entry are kept for as long as needed to run the competition and for any legal, tax, or accounting period that applies. Server logs are kept for a limited time by the host. Payment details you enter on Stripe are held by Stripe under its own policy.

Your rights

Under UK GDPR you may ask to:

• Access the personal information we hold about you
• Correct inaccurate information
• Ask for erasure in certain cases
• Ask us to restrict processing in certain cases
• Object to processing based on legitimate interests
• Receive information you provided in a portable format, where the law allows

Cookies

This site does not set marketing or analytics cookies. The server and your browser may use strictly necessary technical storage so pages load. Stripe may set its own cookies on the payment page and on Stripe's checkout page. Those cookies are not used by this website for advertising. You can block cookies in your browser settings.

Security

We take reasonable steps to keep personal information secure, including limiting who can see messages sent to the business phone and email. No method of transmission or storage is completely secure.

Children

The competition is open to people aged 18 or over. We do not knowingly collect personal information from children.

Changes

We may update this policy from time to time. The new version will be published on this page with a revised date.
